Room planning 01

Activities and furniture layouts

Define meetings, training, community events, banquets, and presentations for each room arrangement.

XL AV reviews how the room changes between activities. Rows of chairs, round tables, workshop groups, and open-floor events create different microphone positions and display sightlines. We identify the expected audience sizes, presenter locations, furniture storage, and setup frequency.

The design establishes which layouts need full presentation or conferencing capability and which need only speech or playback. Staff responsibilities, guest access, and changeover time inform the connections and controls. Existing equipment is assessed against the required activities before recommending an upgrade.

Room planning 02

Speech, playback, and acoustic conditions

Plan microphone pickup and loudspeaker coverage for seated groups, presenters, and changing occupancy.

Microphones may be needed at a lectern, a head table, or a movable presentation position. Handheld, wearable, tabletop, and suitable installed pickup arrangements are evaluated for their tasks. Loudspeaker coverage considers the occupied layouts and the level needed for speech and programme audio.

Hard finishes, windows, partition walls, and background noise affect intelligibility. We review these conditions and identify acoustic or facilities coordination where required. DSP tuning includes gain structure, routing, equalization, and appropriate protection. Microphone and loudspeaker placement remain central to feedback mitigation.

Room planning 03

Divisible rooms and combining logic

Coordinate audio, video, controls, and conferencing for every supported partition arrangement.

A divided room can need independent sources, microphones, displays, and volume controls. When sections are combined, selected signals and controls may need to operate together. We document each supported arrangement and establish the source and control ownership for the combined space.

Partition sensors or authorized manual selection can determine room state where supported. Audio combining alone does not coordinate cameras, video sources, conferencing endpoints, or lighting. We design those behaviours explicitly and test the change between arrangements, including source privacy and recovery after a restart.

Room planning 04

Displays and presentation content

Select images for the viewing distances, layouts, lighting, and detail the audience needs to read.

Display size and placement follow the smallest required content, the nearest and farthest viewers, and the furniture layouts. Projection, flat panels, or direct-view LED can suit different dimensions and lighting conditions. Duplicate or separate displays may be needed when a partition changes the room.

Where LED is appropriate, XL AV evaluates LUXVISION families against the application. ECOLUX HD X can suit detailed close-view presentations; ECOLUX Standard can suit content and distances that permit its available pitches. ECOLUX Hanging X can suit supported reconfigurable stage layouts. Ball-impact exposure, if present, requires a separate protection review and may justify PROLUX Rugged.

Room planning 05

Hybrid meetings and remote participation

Plan camera views, participant pickup, shared content, and return audio for the intended room modes.

Read moreShow less about Hybrid meetings and remote participation

Hybrid events require an agreed view of presenters and local participants as well as a content-sharing path. Camera placement must account for tables, stage positions, and the room partitions. Dedicated room systems or guest-laptop connections are evaluated for the chosen workflow.

Audio routing and acoustic echo cancellation are coordinated for each supported combined or divided mode. Microphone coverage, loudspeaker feeds, and the cancellation reference must follow the active configuration. We check simultaneous conversation, content sharing, mute behaviour, and camera selection with remote participants.

Room planning 06

Guest connections and event inputs

Provide practical presentation points and define how visiting equipment connects to the installed system.

Connection points can include laptops, playback devices, document cameras, and temporary event equipment. Their locations follow furniture and presenter positions. HDMI, USB-C, wireless sharing, and peripheral transport are verified against the selected devices and cable distances.

Guest production connections need agreed levels, routing, permissions, and control boundaries. A visiting mixer or video source should connect through a documented interface. Cable routes and temporary setups are coordinated to preserve circulation and access. Staff need a clear procedure for returning to normal room operation.

Room planning 07

Lighting and presentation scenes

Support reading, discussion, camera capture, and events with coordinated room lighting.

Training and meetings need useful light at the tables, while presentations may need different levels near the display. Stage or demonstration areas can require separate fixture coverage. We coordinate daylight, shades, display reflections, camera exposure, and the available lighting controls.

Where included, scenes are labelled for the agreed room activities and partition modes. AV and lighting controls are coordinated through supported interfaces. Event lighting requirements, fixture access, power, and emergency lighting responsibilities are established with the project team.

Room planning 08

Staff controls and room changeovers

Make the active layout, source selection, microphone mute, and reset procedure clear to operators.

Controls should show the active room arrangement and provide the functions staff need for it. Typical tasks include source selection, audio adjustment, microphone mute, display operation, and supported lighting scenes. Advanced event functions can be assigned to authorized users where required.

We agree startup, shutdown, and reset routines for the room. Presets are tested with the connected equipment and the actual layouts. Training covers changing room modes, preparing guest connections, and identifying common problems. Configuration backups and operating instructions are included according to scope.

Room planning 09

Infrastructure and maintenance readiness

Coordinate power, networks, mounts, cable routes, and service access for flexible use.

The installation plan includes wall and ceiling support, floor or wall connections, equipment racks, ventilation, electrical supplies, and cable pathways. Furniture changes and partitions must leave the intended connections accessible. Existing cables and mounts are inspected before reuse.

Networked AV, wireless sharing, conferencing accounts, and management functions are coordinated with IT. Required switch settings, permissions, updates, and remote access are agreed for the selected equipment. Maintenance and spare-equipment planning account for booking schedules and staff responsibilities.

Room planning 10

Commissioning and consultation preparation

Test each supported room arrangement and bring layout examples to the design discussion.

Read moreShow less about Commissioning and consultation preparation

Commissioning checks speech, playback, display legibility, source changes, room-state transitions, lighting scenes, and controls in every agreed arrangement. Hybrid calls, recording, and guest equipment are tested where included. We verify that separated sections operate independently as intended and combined modes share the correct signals.

For a consultation, provide room dimensions, partition plans, photographs, furniture layouts, typical bookings, existing equipment, and current problems.
